Terms of Service

1. Agreement

CrewCert is operated by SoloFive LLC, a California limited liability company ("we"). By using CrewCert you agree to these terms. If you use it on behalf of an organization, you represent that you can bind that organization.

2. The service

CrewCert helps you collect, review, and track certificates of insurance and related vendor documents. You are responsible for configuring your requirements and for the accuracy of your decisions.

3. Not a compliance or insurance determination

CrewCert's AI transcribes documents and our software checks them against the requirements you set. It is a tool to assist you — it does not provide legal, insurance, or compliance advice, and does not guarantee that any vendor is adequately insured. A certificate is only marked compliant after a person on your team reviews and approves it. Authenticity signals are advisory only and are not a guarantee that a document is genuine. You are solely responsible for your compliance decisions.

4. Changes to the service

We improve CrewCert continuously, so features may be added, altered, or removed. We'll give you reasonable notice before a change that materially reduces the service you are paying for, and if such a change doesn't work for you, you may cancel and stop being billed at the end of your current period.

5. Accounts & acceptable use

Keep your credentials secure. Don't misuse the service, upload unlawful content, attempt to breach security or tenant isolation, or send the inbound address anything other than legitimate certificates and vendor documents.

6. Your data

You retain ownership of the vendor and certificate data you provide. You grant us the rights needed to host and process it to provide the service. We do not use your data to train AI models. Our handling is described in the Privacy Policy.

7. Fees, billing & cancellation

New organizations get a 30-day free trial; no card is required to start it. After that, CrewCert is a monthly subscription — currently Crew at $19/month for up to 25 vendors and Contractor at $49/month for up to 100 vendors. Prices are in US dollars and exclude any taxes we're required to collect.

How payment is taken. Payments are processed by Stripe, Inc. and its affiliate Link, LLC, which acts as the seller of record for your subscription and issues your receipt and tax invoice. Stripe calculates and remits any applicable sales tax. Your card statement will show a charge from LINK.COM* SOLOFIVE LLC, and your receipt will identify the subscription as CrewCert. We never receive or store your card details. Your agreement for the CrewCert service itself remains with us, and these terms govern it.

Your subscription renews automatically each month until you cancel, and you authorise a charge to your payment method for each renewal. We'll give you at least 30 days' notice by email before any price increase, and you may cancel before it takes effect.

You can cancel at any time from Settings → Plan & billing, without contacting us. Cancellation takes effect at the end of the period you have already paid for, and you keep access until then. We don't refund partial periods, and fees already paid are non-refundable except where the law requires otherwise. Export your data to CSV before your access ends. If a payment fails we'll email you and may suspend the service until it is resolved; a suspension doesn't delete your data. Billing questions come to us at [email protected] — you don't need to contact Stripe or Link, even though their name appears on the receipt.

8. Termination

Cancelling your subscription and deleting your account are different things, and you choose between them. You may cancel your plan anytime from Settings; cancelling stops future charges and nothing is deleted — your vendors, certificates and history remain, and you keep read access to them. Separately, an owner may delete the organization outright from Settings, which permanently removes your organization's data; that action asks you to type your organization's name and cannot be undone. We may suspend or terminate for material breach.

9. Disclaimers & limitation of liability

The service is provided "as is" without warranties to the maximum extent permitted by law. To the extent permitted by law, our aggregate liability for all claims is limited to the greater of the fees you paid us in the 12 months before the claim or US$100, and we are not liable for indirect, incidental, or consequential damages, including any losses arising from an uninsured or under-insured vendor.

10. Governing law & changes

These terms are governed by the laws of the State of California, United States, without regard to its conflict-of-laws rules. We may update them; material changes will be notified. Questions: [email protected].
